Job Duties::

  • Active contribution to a respectful, service-oriented and professional culture within the institute and the team
  • Support for the Head of Institute in organizational, administrative and operational matters, including business travel management
  • Proactive scheduling, appointment coordination and deadline management
  • Professional correspondence and communication in German and English
  • Central point of contact for IPPD staff, students, internal university units and external partners
  • Management of budget, invoicing and reimbursement matters, cooperation with the relevant central university departments, and support with the administration of research projects
  • Cost monitoring using SAP
  • Independent handling and coordination of general secretarial and administrative matters
  • Maintenance and management of data, documents, filing systems and internal university information systems
  • Organization and administrative support of the institute’s teaching activities, in particular courses, examinations, room scheduling and timetable coordination; support for students in Polymer Engineering and assistance with organizational matters relating to their studies, courses and examinations at the institute
  • Maintenance of the institute’s website and other social media channels
  • Organization, preparation, participation in and follow-up of meetings, committee meetings and visits by external partners
  • Organization, preparation and participation

Your Qualifications::

  • Completed commercial or business-oriented education or an equivalent qualification; further education and/or relevant professional experience are considered an advantage.
  • Excellent proficiency in MS Office and SAP; strong willingness and ability to quickly become familiar with university-specific IT systems and digital workflows.
  • Very good written and spoken German and English skills, with German at C1 level and English at B2 level.
  • Confident use of modern office communication systems and digital organizational tools.
  • Independent and solution-oriented approach to work, flexibility, a strong sense of responsibility and excellent organizational skills.
  • Enjoyment of working with people, strong teamwork skills, and a friendly, open and professional manner.
  • In short: You don’t just organize – you think ahead, actively contribute, and always keep the bigger picture in mind.

What We Offer::

  • On the basis of full-time employment (40 hours/week) the minimum salary in accordance with the collective agreement is € 2,759.20 gross per month (14 x per year, CA Job Grade: IIIa)
